Letter of Intent format for a Job Employment Offer to Candidate

Through a letter of intent, an employer finally makes his intention clear to select a candidate for a particular position.

The letter of intent is given to the candidate after the interview process is completed and salary is discussed between the employer and employee.

The employer gives a certain time line to the candidate to convey his acceptance, failing which it stands cancelled. After which, they will proceed with other prospective candidates.

Though the letter of intent is not the same as the offer letter, many organizations tend to draft it the same way. The letter of intent contains less details compared to the offer letter. The confirmation regarding the selection of the candidate is only conveyed and a few other details are mentioned viz. designation, salary amount and office location.

Congratulations on successfully completing your interview with us. Upon assessment, we have found your skills and competencies matching our requirements.

As mutually discussed and agreed, we are pleased to offer you an appointment as per details given hereunder:

i) You will be designated as (Job Title).

ii) You will be located at (Workplace Location). The position may be transferable to any other location of the company in future.

iii) You will be entitled to an all-inclusive compensation (Cost-to-company) of Rs. _______/- (Rupees _________________ only) per annum, which consists of fixed salary component of Rs. _______/- per annum and variable component of Rs. _______/- per annum (Performance based).

iv) You will be responsible for (Briefly mention details of job duties).

This offer of appointment is subject to your successfully completing the company’s medical examination and background verification, failing which this offer will stand rescinded.

Please confirm your acceptance of this offer by signing and returning this letter by (Offer expiration date), failing which this offer will stand rescinded. If you accept this offer, your start date will be (Date). The final letter of appointment will be handed over to you within a week upon joining the services of the company.

You are requested to carry the following documents at the time of joining:
1. Copies of your Aadhar, Pan Card and Passport.
2. Academic qualification certificates (Photocopies).
3. Relieving and experience letter from the previous employer.
4. Salary slips and bank statement for the last 3 months.
5. Three copies of passport size photographs.
6. Residential document proof.
7. Form 16 (Income-tax) from the previous employer.
