Letter to Bank format for Surrendering EDC Card Swipe Machine

Retail and corporate customers of the banks mainly use card swipe machines. If any of those clients are not satisfied with the EDC machine, then they can lodge a complaint to the bank for redressal of the problems.

In case, your issues with the card swipe machine are not redressed by the bank, then you can apply for surrender of the machine. Write a formal application to the bank for surrender. Alternatively, visit the bank and submit the application form available at the branch office.

Dear Sir/Madam,

I am surrendering herewith the EDC machine with MID/TID ______ issued under my account bearing number __________. I have handed over the machine at your branch office to the concerned bank staff.

I had obtained the EDC machine for getting payments smoothly from my retail shop's customers. However, during the last ___ months, I have faced several issues with it viz. i) erroneous amount deduction, ii) connectivity issues, iii) charging issues - automatic sudden shutdowns, and iv) receipt printing issues.

Most importantly, at the time of obtaining the machine from your bank, I was told that the charges would be __% per transaction. However, I noticed from the bank statement that __% per transaction has been charged. I had lodged complaints with the bank but no solution was found.

I, therefore, kindly request you to cancel the EDC machine services activated on my account. I would highly appreciate it if the extra charges levied and security deposit amount for the EDC are refunded back to my account.
