Letter Requesting Re-issue / Replacement of Expired Cheque (Sample)

When a party (individual / company) issues a cheque for a certain amount to another party, generally the issuing party would put the date of issue on the cheque but in certain cases a signed cheque may not be dated as per mutual agreed terms.

In case, the cheque is dated, then as per the banking regulations, the cheque becomes valid for only three months, within that period the cheque must be presented to the bank for encashment. If the period expires, but the cheque is still not encashed then the cheque becomes outdated (expired cheque).


In such a case, the receiving party may request the issuing party to issue a fresh cheque in his favor in return for the expired cheque. The receiving party may write a letter in the following format enclosing along with it the expired cheque(s).

I hope you are doing well. I am enclosing herewith a cheque bearing no. ........... dated ............. for a sum of Rs. ......../- issued by you in favor of our organisation against the invoice no. ................ dated ...............

I beg to state that I had totally forgotten about encashing the cheque because somehow it was misplaced and by mistake had been lying under some registers, which I found this morning. The validity of cheque has expired and I will not be able to encash it anymore.

I, therefore, request you to kindly issue a fresh cheque as a replacement of the earlier cheque. I shall be ever grateful to you for the same. My apologies for putting you through this unwanted inconvenience.

    When the cheque I had received earlier got expired due to my negligence in encashing it in due time, I thought I would never get back my money again from the party. But I wrote a letter requesting him to reissue the cheque and thankfully he cooperated. Thanks for this useful format. I referred it while writing my letter.

  4. I issued a cheque to supplier with wrong signature.
    Now i need the cheque for issuing new one.
    Can you please give me format for this.

      This is a bit complex situation. Even if you write to the supplier to return back the cheque so that you can issue a new cheque later. He may not do that unless he receives the new cheque at first.

      So either exchange the old and new cheque hand to hand at the same time by personal meeting.

    1. You can refer the above mentioned format while writing your letter. Basically, in the description of the letter you mention the details of the cheque received i.e. amount, cheque number, date of the cheque, invoice reference, etc and mention that the the cheque is an expired cheque and hence you are returning the cheque for issue of a fresh cheque.
